Release 2.1.5 of ContaxCRM is imminent. I thought therefore that I would take a break from coding / testing / documenting and share with you one of the enhancements in 2.1.5 which is purely cosmetic but which I think add to the appeal and ‘likeability’ (new word ?) of the product. The Calendar windows have been replaced with new improved ones which are at least twice as sexy as previously. In addition these new windows can also be resized to your preference. I hope you like them.

Today we released Version 2.1.0 of our Premium Contact Relationship Management software, ContaxCRM. 2.1 has many additional features as well as overall speed increases and a few bug fixes. The list of updates can be seen below:

Significant enhancements to the Main window

We have recently released an upgrade to our Cross Platform Encryption software for Mac OSX, Windows and Linux. R10Cipher 4.4.x has the ability to integrate with the new R10Cipher_G program which allows for Centralised and Syncronised Key Management across Departments, Sites, Campus, Labs, Companies etc.

To explain that better, and what it means to existing R10Cipher users, let’s review how R10Cipher allows you to send and receive information privately. Basically you and the recipient(s) agree a Shared Secret in advance. The Shared Secret is generally a collection of letters and/or numbers between 4 and 16 characters, an example would be: 5te123321

This Shared Secret is used along with the existing document to create an encrypted document that cannot be opened or read by anyone without access to the Shared Secret. The recipient(s) uses this same Shared Secret to Decrypt the document and convert it back to the original.

So far so good. Now imagine you have fifty people who you wish to communicate with securely. To ensure security each of their Shared Secrets should be different. Any Shared Secret worth using cannot be remembered easily, not along with forty nine others ! The in-build R10Cipher Key Management database copes with this scenario easily, allowing you to use one Master Password in order to retrieve any of the fifty individual Shared Secrets. So the next stage is this: What if you and fifty, or even five hundred of your best friends / colleagues need to communicate securely with each other as well as a client base of several thousand ? This is where you need R10Cipher 4.4.x which is a free upgrade and the Centralised Key Management Database Utility, which is an optional purchase. The Centralised Key Management Database Utility (known as GOD-Mode or G-Mode during development - try saying or typing Centralised Key Management Database utility a few times ...) is launched and pointed at an R10Cipher database nominated as a Master Key Database, ie: one setup and managed by the Company / Department or Individual responsible for your secure communications. G-Mode then populates a MySQL Database with the contents of the Master Key Database, and a text file is edited and incremented, for example from 5 to 6.

The next time any of the users who have had their R10Cipher software configured for G-Mode, load R10Cipher, R10Cipher compares the local database version number with the remote database version number and if necessary syncronises it’s local database with the remote MySQL Key Management database.

The syncronisation is one way only, ensuring that the individuals Key Database is reset as per the nominated Master Key Database. It’s simple, easy to setup, slick and fast. R10Cipher can now scale very easily in a controlled fashion, with the benefit and added security of distributed and easily backed up information.

Note: You can also setup R10Cipher with your own personal Key Management Database as well which is not designated to sync with the remote database. Perfect for keeping the Shared Secrets for your personal contacts.

I’ve been working today on enhancements to the ContaxCRM Overview screen. Some of the features include immediate access to the default phone number and one click access to additional phone numbers, one click to send an email and one click to view the website, blog or Facebook page.

Just as important is trying to maintain a spacious, clear and uncluttered view of the contacts primary information. The image below shows you what we’ve got so far. The first two pictures are taken from the Mac OSX edition and the last picture from the Windows 7 Edition.

The biggest release was ContaxCRM 2.0 and the ContaxCRM Suite, but I’ll talk about them in a different post.

The three products listed above have all been updated to make the trial procedure better for the potential customer and more profitable for Arten Science

When the 30 Day Trial period is over and the potential customer trys to run the program, two things happen. Firstly, the browser is opened pointing to our online store for the appropriate product, encouraging the potential customer to purchase.

The second thing that happens is that a screen similar to the one below is shown, thanking the potential customer for trying our product and allowing them to enter a serial number and user id when they have purchased one

Like everything else in life, make it easy and straightforward and people are more inclined to use it. An easy and smooth experience should be experienced from the first look at the website to the everyday use of the purchased product.

A major project for Arten Science going forward involves looking at every facet of our business and trying to improve the user experience. I am convinced the time invested will pay dividends.

Another improvement to these three products in the latest releases is to do with downloading the trial version and also upgrading an existing version of our software.

From today onwards the download from our site and those of our distributors will include the complete version of the product, needing only a user id and serial number to change the product from Trial to Full. When upgrading to the latest version from within the application though, only the files that need updating are downloaded for you. These files can then be dragged and dropped into the product folder, after making sure you quit the program first. These small changes will make living with our products simpler and more straightforward than previously.

All of these updates are of course free of charge.

Over the weekend we released ooSooMpro 1.1.2.

The main reason for the release is a new feature we have added which allows you to link a Task to a Vault Item and it’s associated documents. This was a feature asked for by existing customers and with a little imagination can be very useful.

To link a Vault Item to a Task, first select the Task and then select the appropriate option from the Options menu. See the image below:

Once the link has been established you can access the association easily. See the image below:

ooSooMpro 1.1.2 is a free update for existing customers.

I spent the weekend finishing up and tweaking ContaxCRM Suite Version 2.0. The Gold Master is now complete and has been sent to the distributors for duplication.

The contact information is stored over 5 windows which can be accessed using the drop down menu in the top left of the window or using the shift key and the left and right arrow keys.

Each screen is fairly self explanatory, although the final window is unique (to my knowledge) in the type of software. The user defined ‘Ratings’ window allow you to rate your contact is any way imaginable. I suspect we will see this feature become very popular with our customers.

ContaxCRM Version 2, and the boxed version of ContaxCRM Suite are imminent. Due to the amount of effort involved with making this happen I haven’t had much time for blogging recently. This morning I’m changing that. Twit TV is playing on iTunes, I’ve got a hot cup of coffee and I’m going to tell you about one of the recent enhancements to ContaxCRM.

By default ContaxCRM uses your local timezone information when writing data to the database. If you are running the Multi-User Edition and you have users located in different timezones then using the local timezone could cause confusion. In this scenario you have the option of using UTC (Zulu) time taken directly from the server. This means that data entries that are time stamped can actually make sense from a chronological perspective.

In addition, there is an option that can be set to produce the time and date information in the format required for ISO-8601. You can see an example below:

There are many, many enhancements in Version 2.0.0, I’ll find the time to tell you about some more of them soon.

I read this yesterday on the MacZOT forum, a customer of mine is answering a question from a potential customer regarding licensing:

I purchased a prior version of this (R10Cipher) in a previous Zot and an upgrade direct from the developer and have found both him (the developer) and the program to be excellent.

For the purposes I use it for it is fantastic and i’m confident if I had a problem the developer would go out of his way to help.

Nowadays it pays to be a little proactive in your security and safety and I would not hesitate in recommending this program as a part of the steps you need to protect yourself.

As far as I remember your allowed to install this on two computers and as I begrudgingly have to use a windows computer on occasion I’ll probably pick up another copy to allow me to install it on three computers.

The Multi-User edition of ContaxCRM uses MySQL as it’s database. MySQL is easy to setup and free as well as being reliable and well supported. This is how you setup MySQL for ContaxCRM in six easy steps.

Step 1

After downloading, Install MySQL by following the prompts and accepting the defaults. Do the same with the MySQL GUI Tools. Run MySQL Administrator.


Step 2

Create a new Catalog called ContaxCRM.



Step 3

Setup a ContaxCRM User Account and Password. You will receive the password from Arten Science.



Step 4

Attach the ContaxCRM Schema permissions to the ContaxCRM User Account and Save the changes.



Step 5

Run the ContaxCRM/MySQL setup tool from Arten Science and click all four of the right hand buttons in the order top to bottom. When prompted for a SQLite database, point at your demo or tutorial database probably located in your ContaxCRM folder.



Step 6

That took all of maybe 10 minutes, now setup the ContaxCRM clients, you’ve almost finished so put the kettle on ready

Development of ContaxCRM continues at a pace. Version 1.9.8 of ContaxCRM is now available. The new features and enhancements are detailed below.

Audio Output of Contact Information and Contact Notes

This new feature is currently Mac OSX only. It is designed to help in one of two situations. In the first situation you are due at a meeting with a customer and don’t have time to read through all their history and notes to fully brief yourself before you go.

The solution is there at the click of a button. ContaxCRM will output all the information you need, date and time stamp it, and save it as an Audio File in your Downloads folder. You can then copy it to your phone, memory stick, iPod etc. for listening to in the Car, on the Train etc.

The second situation is that you just can’t be bothered or you are sick of looking at the screen and you need to get up to date with one of your contacts. The same applies, an Audio File is created which you can then double click to listen to as you lean back and put your feet up ...

Speech technology on the Mac is very good now and the voice I have selected, ‘Alex’, is the best of the bunch and will be perfectly adequate for this requirement.

I consider this a very unique and useful feature. I have to do it on Windows next ... The screenshots below may give you more indication what I am talking about.

One of the upcoming features of ContaxCRM is integration into your email software to ensure a complete record of conversations and interactions are stored within ContaxCRM. At the moment in the current release of ContaxCRM you can send an email by clicking the button on the client record screen and filling in the email form. This will automatically save this email to history as well as send it via your currently configured email client.

Email received at the moment has to be manually dragged and dropped into ContaxCRM. In the next release however that will not be the case.

Within your email rules you need to add a rule similar to that shown in the following screenshot:

Once that rule is active it will copy all incoming mail to the ContaxCRM Mail Handling software which will match the ‘From’ address to the email addresses in the ContaxCRM system and save the email into the history of the appropriate contact. All done transparently.

Of course by doing it this way and using the mail rules as the starting point allows you, the individual user, to specify the criteria for which email gets transferred to ContaxCRM. Maybe you want to restrict it to one account, or maybe base it on keywords ? The choice is yours.

What is undeniable is that this has got to be the simplest and most effective way of automatically recording your incoming email against the appropriate contact in your ContaxCRM system.

I like to send several Twitter posts every day and if I use a standard Twitter client I see lots of posts from others which tends to distract me, I can catch up on those later in the evening when I’m not so busy. So with TwitQwik you can leave it open and send your Tweets and you are not distracted by incoming Tweets from others.

I have been asked why I often go through a patch of frequent updates to a product, for example ContaxCRM has had four updates in the last week or so.

The reason is quite simple. From a customers perspective they can choose when to update based upon the features that have been added, they are not forced to update every time I upload a new version. For those customers however who are waiting for a particular feature they can have it immediately with no waiting around for a particular ‘scheduled update’.

From my point of view it allows me to do several weeks or months on a product and see the results of my work ‘out in the wild’ where customers and prospects can give me immediate feedback.

Another reason is, because I can. I think the fast development, immediate distribution model is where we need to be nowadays to stay relevant and current and to give our customers value for money. This is where a small company like mine can add value over the larger companies, our ship can be turned on a dime, their ship has a lot more inertia and finds it difficult to turn quickly to react to changing market and customer needs.

With the imminent release of the MySQL version of ContaxCRM in mind, I have released another new tutorial / help movie that covers Logging On to the MySQL Version of ContaxCRM

• The Multi-User version of ContaxCRM is being released in the next few hours •

ContaxCRM is designed not only to run extremely well as a Single User application, but also to run as a Multi-User Networked application backed against the MySQL database system.

If MySQL is to be used as the database for ContaxCRM it has to have all the Tables and Indexes setting up prior to being used with ContaxCRM. This can be done using the Free ContaxCRM MySQL Database Utility. Two clicks and you are up and running

If you are upgrading from a Single-User SQLite version of ContaxCRM to a Multi-User MySQL version of ContaxCRM then our Database Utility will copy all of the data from your Single-User database into MySQL for you - at the press of a single button. It couldn't be any easier to get started.

I have been doing some coding lately. Below you can see a couple of views of the User Setup window for the MySQL version of ContaxCRM.

Notes:

• 1. In the screenshot above you can see the individuals password. This is because the 'Show' checkbox is ticked. To hide the password this checkbox can be unchecked.
• 2. The password looks encrypted because it is. This is done automatically by ContaxCRM, it stops even those wiley SYSADMINs with their Query Tools from seeing your passwords.
• 3. An Avatar or image of the user can be attached to their user record. These images are not stored in the database but are saved elsewhere, preferably on a shared drive. A decision should be made on the network location of these images before setup is completed.

It’s been mentioned many times to me over the years that the South and the North West are particularly well served by IT companies but the Midlands isn’t. This is a fallacy, but one which sticks.

I’ve been thinking of trying to put together a portfolio, a listing, a directory of Midlands based IT companies for a while. My company specialises in distinct areas and anything outside of those areas I want to pass along to others who I know and trust to do a good job. Other IT companies in the Midlands are undoubtedly in the same boat.

A few weeks ago I decided to do something about this. The result is here: http://www.midlandsitgroup.co.uk/ This is very much a work in progress but it’s a start. Using the power of LinkedIn I sent out invites and those that replied are included on this site. We already have a vast selection of expertise and knowledge available - I think it’s a good start.

We released 1.5.5 of ContaX today. This is probably the last release prior to the MySQL Multi-User version which is due soon (I said this last time, but I was mistaken ).

1.5.5 has the following small but useful update:

Attached Vault documents from ooSooM are now shown against the appropriate contact within ContaX and can be opened in their original application by double clicking them.

You can see this in the annotated screenshot below:

This is a small but useful feature that gives added value to the document management features of the ContaX CRM solution.

ooSooM our Task Manager and Secure Digital Vault software is perfect for capturing and filing notes and thoughts as well as for preparing and storing scrips as you create them, scripts such as blog posts, white papers and other forms of creative or technical writing.

There are several methods of doing this using ooSooM and our associated tools.

Method 1: If you are a Mac user then you can run the free software tool NanooSooM which comes with the Macintosh edition of ooSooM. NanooSooM can be launched automatically at system startup and is then available at anytime, anywhere using a Global Hotkey Combination (Shift + Alt + Return). NanooSooM will accept text input which can then be saved directly to the ooSooM Inbox. NanooSooM is perfect for capturing those sudden ideas quickly and easily without having to break your concentration.

Method 2: Another method is to use the free software Justwrite, available for download from the 'Free Software' section of the Arten Science website. JustWrite is available for both Mac OSX and Microsoft Windows. JustWrite is ideal for use when composing longer documents as it takes over the whole screen of your computer and has very limited features and functionality to get in the way of you releasing your creative genius. You can adjust the width of the text input area and change the font size, name and colour as well as the background colour and that's pretty much it, apart from the ability to save directly to the ooSooM database.

Method 3: You can of course enter text directly into ooSooM, either into the Inbox area, to be filed and categorised later, or directly into an existing Urgency, Type and Heading area. You can choose to enter directly into the main text input area, or alternatively use the 'Quick Item Entry' (Cmd / Ctrl + K) Window.

ooSooM has many strings to it's bow. I hope this article on note taking, text input and quickly capturing ideas with ooSooM helps you better utilise our software.

Thanks to our customers ooSooM has been very successful. In only a few short months ooSooM has been registered well over 2000 times. It's great to know that so many people are using and enjoying the product.

ooSooM is available Free of Charge and we make revenue from the Encryption / Decryption security features that are enabled by purchasing either an R10Cipher or ooSooM Pro license. For those that don't want or need these features ooSooM is entirely free, with no strings attached.

As a registered user you may receive an email from us every few weeks telling you about the latest offers from Arten Science, but you can unsubscribe to that very easily, and you won't hear from us again.

I think any customer of ooSooM who has been using it since version 1.0 will see that the product is now far better and more sophisticated than those early versions, your feedback has been very positive.

Products have to evolve and change to improve and ooSooM is reaching the point where the features that we would like to put in the product and the features we are being asked for by our customers, as well as our commitment to the R10Office suite mean that the next version of ooSooM is no longer viable to be released as a free product. Developers also need to eat The current free version however will remain supported for at least the next 12 months.

The next version of ooSooM will be called ooSooM Pro. Anybody with an existing ooSooM Pro license can use this license with the new product. In addition anybody with an R10Cipher license can apply for an ooSooM Pro license free of charge.

The cost of an ooSooM Pro license will increase when the new product is released, so if you are toying with the idea of upgrading to an ooSooM Pro license for ooSooM, you should do it soon while the price is still very low.
